Facilities Manager



Here at Alliance Trust Savings we are currently going through an exciting period of change, and as such are always looking for the right candidates to support us do this.  This being so we currently have a job  opportunity for a Facilities Manager to join our business covering our Dundee and Edinburgh Office.

The Role

This role is responsible for the operational management and day to day delivery of all Facilities management services, including project works.  You will also be accountable for  the management and continual improvement of HSE processes to meet regulatory and international standards.

Key job responsibilities:

  • Manage all site FM services and act as duty holder for ATS’s leased offices in Dundee and Edinburgh
  • Develop and implement effective site specific planned preventative maintenance, reactive maintenance, to ensure assets meet required statutory legislation and service standards.
  • Responsible for monitoring spend, including supporting budget forecasting and monthly invoicing processes.
  • Ongoing vendor management ensuring quality and timeliness of services are appropriate and in line with Supplier Management Framework.
  • Lead/assist in site incident investigation.
  • Support DR process in line with requirements.
  • Business Risk owner – H&S, Physical Access.
  • Ensure compliance with statutory requirements in line with best practise and Health & Safety advising the business where appropriate.
  • Drive sustainable practices within all offices including energy efficiency.
  • Managing the Facilities out sourced partners on a day to day basis
  • Develop and maintain appropriate policies and processes to ensure mitigation of risks and legal compliance
  • Monitor, analyse and review health & safety performance and trends and identify appropriate initiatives to ensure continual performance improvement and consistency in risk management
  • Promote understanding and implementation of policies and processes through multi-channel communications e.g. ATS intranet
  • Deliver robust management information
  • Appointed competent person for DSE, general H&S, First Aid and Fire Management keeping management informed of key risks
  • Manage audit process

Key Risk Responsibilities

  • Report to the Department Manager knowledge of any risks that are not already recognised and recorded
  • Report, in line with the Risk Event process, any regulatory breaches, operational risk events or “near misses” that occur

What you'll bring

You will come with a broad knowledge and experience in facilities management and industry best practice including practical knowledge of facilities management, maintenance operations and services and risk management.  You will have operational and contract management experience, including managing outsourced vendors.  Experience of Project management would be ideal,  as well as a proven track record in forming and managing effective stakeholder and supplier relationships.  Membership of a relevant professional body is required, or evidence if working towards a qualification such as IOSH / BIFM
