Secretarial Support Manager – Edinburgh


This is a truly unique role which requires an individual who demonstrates a hands-on approach and is a pro-active team leader. An individual who has gained depth of experience working with a Professional services environment, having had responsibility for the management for the co-ordination and delivery of a highly efficient and effective secretarial support services function within a fast paced, professional business environment.   

As part of a professional support team, this role is very much a proactive role, encompassing the provision of providing and delivering secretarial support, coupled with wider management duties working closely with the management team. 

Key responsibilities will include:

  • Responsible and accountable for the secretarial/administrative support service provided across the various practices areas, ensuring a consistently high quality of service is provided firm wide.
  • Co-ordinate secretarial workflows for the team, pro-actively communicating with Fee Earners in relation to secretarial support and other matters.
  • Prioritisation and coordination of documents in order to ensure service standards are met, and being the first point of quality control.
  • Responsible for reviewing and researching, recommending and introducing changes in practise and procedures, implementing company policies and ensuring compliance.
  • Support the development and the roll out of Performance Management Framework to staff and all related activities including; objective setting, reviewing performance, gathering feedback, appraisals, sickness/absence and holidays.

The successful candidate will be;

  • A highly organised, articulate individual possessing comprehensive communications skills both written and verbal.  
  • It is essential you possess depth of experience within a role which entails responsibility for coordinating secretarial services within a professional business setting, ideally within the legal firm.
  • Your administration skills will be excellent, and you will be confident individual who demonstrates and organised approach and possesses experience in providing a range of secretarial and administrative services at senior level.
  • Excellent IT skills and current knowledge of MS Office programmes are prerequisite, coupled with strong prioritisation skills, as is a high standard of client care and attention to detail.
  • A methodical approach to your duties and the ability to react to changing prioritise whilst retaining a calm approach when dealing with restricted timescales.
  • Strong interpersonal skills and demonstrates the ability to build rapport and developing strong working relationships firm wide.
  • Proven influencing skills combined with a flexible approach.
