We currently have an exciting new opportunity for a part-time Facilities Manager to join us in our vibrant new Glasgow office at Skypark. The hours required to be covered are either (7am - 11am) or (8am - 12pm) Monday - Friday.

JOB PURPOSE:

Management of, and hands on provision of, effective office facilities and Reception services at our Glasgow office to meet the business requirements of all Dayforce Europe functions, in line with best practice and legislation; including responsibility for managing suppliers. This role is also responsible for providing a PA service to the Managing Director.

KEY ACCOUNTABILITIES:

1. Proactive management of internal and external customer requirements, ensuring that centrally provided facilities and reception services delivered are reliable, cost effective and satisfy the requirements of the business.

2. Main point of day-to-day liaison with building management where appropriate.

3. Management and resolution of all building and maintenance issues by liaison with appointed contractors and suppliers.

4. Proactive management of the office reception area, ensuring all visitors are dealt with courteously, professionally and in compliance with company procedures.

5. Proactive management of supplier / maintenance contractor relationships and monitoring of service levels.

6. Manage and distribute office post/courier services and office supplies as required.

7. Check all photocopiers and fax machines for paper and replenish where necessary.

8. Identification and implementation of cost reduction opportunities.

9. Monitoring and management of departmental related procedures ensuring that all activities conform to stated policies, procedures, audit and legislative requirements.

10. Management of health & safety requirements in liaison with our Health & Safety service provider.

11. Proactive day to day management of subtenants, ensuring all parties’ requirements are met and positive relationships are maintained.

12. Administer security measures in accordance with company procedures.

13. Provide a Personal Assistant service to the Managing Director, e.g. booking travel and accommodation, submitting cash expenses, and diary management.

14. Assist in provision of broader departmental services and ad hoc duties as required.

KNOWLEDGE, TECHNICAL SKILLS, QUALIFICATIONS & EXPERIENCE

Essential:

1. Facilities Management and/or Reception experience.

2. Strong organisational and communication skills.

3. Proactive, Practical, Can Do attitude.

4. Highly Customer Driven.

5. IT literate, ideally with a good working knowledge of Microsoft Office.

Desirable:

1. Working knowledge of Regulatory and legal requirements appropriate to Facilities Management including Health and Safety.

2. Prior experience providing a PA service to Management.
