We are recruiting an Executry Assistant to join one of the largest Private Client practices in Tayside, Angus and Fife.  This post holder can either be based in Dundee or Edinburgh. The ideal candidate will ideally have some years of experience of administering executries.  An essential quality of the post, however, is that the candidate has excellent attention to detail and is extremely numerate.  Good communication and computer skills are also required and it would be beneficial if you have experience of a computerised case management system, for example Visualfiles.  A STEP, SOLAS or equivalent paralegal qualification would also be an advantage.

The Job

Main responsibilities:

• Assist with all Executry tasks as directed by the client and Partner.
• Potentially attend initial meeting with client, take instructions and gather financial information as required.
• Ensure clients are aware of all the supporting financial information and documentation that is required to progress matters.
• Refer to the terms of the Firm’s agreed Executry Schedule and undertake, in accordance with the clients wishes, contact funeral directors; banks; insurers; stockbroker; utility providers, etc
• Prepare a register of all assets and debts.
• Prepare an inventory ready for confirmation.
• Apply to the court for confirmation
• Notify all companies in accordance with the terms of the will and inventory; ensure IHT matters are addressed prior to confirmation stage.
• Ensure all actions are recorded accurately within the case management system (Visual Files)
• Maintain regular phone contact with the clients.
• Undertake associated administrative tasks such as filing; photocopying; drafting correspondence, etc.
• Ensure accurate and prompt fee recording in accordance with Firm policies.
• Undertake legal research as necessary.
• Ensure awareness of and understanding of Cashroom and associated feeing procedures.
• Deal with telephone queries from clients, future clients and members of staff in a helpful and courteous manner.

The Candidate

Person Specification - Requirements; Essential/Desirable


• Standard Grades in English and Maths, or Equivalent
• SOLAS or STEP qualification
• HNC/HND in Legal Studies


• Proficient in the use of Microsoft office products
• Good keyboard and computing skills 


• Experience of working within a legal office
• Experience in a client facing role
• Some years’ experience of administering executries
• Experience of using Visualfiles or similar case management system.

• The role will be predominantly office based however it is anticipated that from time to time the post holder will be expected to attend meetings in other offices or occasionally on clients’ premises.
