Support Services Manager – Edinburgh
This is a truly unique role which requires an individual who demonstrates a hands-on approach and is a pro-active Manger. Working closely with Senior Management, key areas of responsibility will be to lead, manage and develop legal secretarial /administrative department support staff, facilities, reception, and mailroom staff across all areas of the business.
The key responsibilities of the role are to:
- Lead, manage and develop the firm’s legal department support staff
- Drive, influence and implement a programme of change to enhance the support provided to the business
- Work with departments to identify areas where support resources need strengthened
- Work with HR/Knowledge and Development to enhance the skills and recruit additional resources as required
- Ensure sufficient and consistent allocation levels of legal support across the firm at all times including holiday cover, sickness absence and urgent requests
- Develop Standard Operating Procedures (SOPs)/quality control guidelines to be implemented and maintained
- Ensure that tasks are carried out effectively and that high standards are maintained
- Share skills and knowledge amongst the legal support staff to provide a flexible multi-functional and consistent service
- Coach and mentor the legal support staff as required to develop and encourage
- Introduce a career structure that develops and motivates our legal support staff
- Ensure the firms legal support staff are provided with training and development opportunities
- Set standards of performance to ensure excellent client service delivery
- Liaise with Department Managers/HR on any legal support issues to resolve issues as quickly as possible
- Report to the Managing Partner/HR in relation to all the foregoing
- Manage the maintenance and cleanliness of the premises including effective operation of a tidy desk environment
