Job Description:

Core-Asset Consulting's client, a highly successful asset management organisation, has a new permanent opportunity available for a motivated Executive Assistant to join their Edinburgh based offices.

The Executive Assistant will be dealing with a wide range of administrative tasks such as supporting the senior members of the firm, maintaining diaries and arranging social events. The role has also a strong client service aspect and the role holder will need to provide assistance with marketing related tasks. These include populating and maintaining databases, updating CRM platforms as well as assisting with client queries. The varied aspect of the role implies strong work ethics with outstanding time management skills coupled with high level of confidentiality and integrity.

Core responsibilities:

  • Arranging meetings, maintaining diaries, booking, setting up and clearing meeting rooms
  • Arranging lunches, booking restaurants & transportation
  • Arranging social events
  • Assisting in arrangements for annual firm Offsite
  • Typing letters, memos, minutes, company investment reports, faxes
  • Assist in arranging travel itineraries
  • Manning the office switchboard
  • Ordering UK & overseas couriers, general responsibility for postal services within the Firm
  • Ordering books and publications, as well as maintaining in-house library and stationary supplies
  • Liaising with various office contractors including window cleaning, cleaning, fire safety, etc.
  • Assistance with submission and payment of staff expenses
  • Assist Management in oversight of their calendars and other ad-hoc tasks
  • Assisting with population of RFP's
  • Update Client Relationship Management (CRM) platform with details from Marketing team
  • Maintenance of the marketing database
  • Creating & editing presentations in PowerPoint
  • Storing client documents to drive
  • Assisting with client queries
  • Liaising with consultants and answering queries

Core skills:

  • Advanced knowledge of Microsoft Office products, including Word, Excel and PowerPoint, are essential
  • Likely successful candidates must demonstrate numeracy, accuracy, organisational skills and attention to detail, as these are critical functions of the role
  • Communication skills, both verbal and written, are important
  • Excellent organisation skills
  • Must demonstrate problem solving skills and ability to multi-task within tight deadlines
