Your new role
The role is to join our Client Documentation team as maternity cover and be part of a critical control function within the Global Portfolio Compliance Group. The Team is responsible for processes pertaining to metadata capture from the client contracted IMA's (Investment Management Agreements) as well as the storage of contractual data and documentation, ensuring it's accessibility to the wider firm. The team is also responsible for the Principal Distributor function for a number of funds as well as liaising with Client Business and 3rd party vendor Markit to successfully process their FATCA/CRS tax forms. The team presents an excellent opportunity to gain exposure to various key regulatory and operational areas involved in the Portfolio Compliance & Onboarding Group processes.

Day to day tasks and responsibilities of the Client Documentation Team include:

  • Accurately capturing and reviewing contractual data and documentation for new and existing clients, ensuring it's accessibility to the wider business, as well as answering queries from the business on the data contained therein.
  • Reviewing, analyzing, and validating client tax forms for FATCA and CRS regulations.
  • To liaise with all EMEA/Asia/LatAm Client Business and the Legal and Compliance Departments on the production, dispatch and completion of all Distribution Agreements, Terms & Conditions of Business Agreements, Side and Amendment Letters, Logo Licence Agreements, Share Class Agreements, and Non- Disclosure Agreements for a number of fund ranges.
  • To administer records of all agreements sent and received and to liaise with sales staff in respect of approving standard and non-standard terms.
  • Ensure document accuracy using WorkShare and checking SOFT/FTF's on Agent Take On Dashboard (ATO) system.
  • Participation in the development and implementation of continuous improvement of the control environment, policies and procedures, looking for ways to innovate and drive the business forward, delivering a superior client experience.
  • Partnering with Legal & Compliance, Product and Regulatory tax and other critical internal stakeholders to manage exceptions and ensure escalation policies are appropriately followed.
  • Demonstrate a good understanding of the financial markets and regulatory changes, and consider how this may impact our processes and client arrangements.
  • Produce daily/monthly statistics for the team, prepare policies, procedures and presentations as required.



What you'll need to succeed

  • Experience or knowledge with respect to either AML/KYC laws and regulations, FATCA/CRS validation or broader documentation and data management within the asset management industry would be beneficial.
  • Strong interpersonal skills and be confident, friendly and respectful individual with excellent written and verbal communication skills, comfortable liaising with clients and colleagues at all levels.

  • Language skills an advantage (English, Polish, German, Swiss German, French, Italian, Dutch)
  • Excellent working knowledge of Microsoft software such as Outlook, Word, Excel and PowerPoint and Information Technology skills
