Gildeas is a highly rated Scottish Legal Firm with offices in Edinburgh and Glasgow. We are independent solicitors with years of experience in dealing with personal injury claims, medical negligence and property law. We aim to deliver a high level of client care and efficient advice across a range of legal services.

We are continuing to grow and seek an experienced Legal Secretary/PA with excellent typing skills to work for a successful and highly regarded law firm.

Key skills and experience:

  • Audio typist – 40 wpm minimum
  • Experience of working with the public
  • Experience working with Microsoft Office (Word, Excel)

Desired experience:

  • Litigation experience, ideally in personal injury litigation
  • Experience of working with e-motions
  • Experience managing diaries

This is a full-service Legal Secretary role working in the Litigation Development and the successful candidate will be required to carry out a range of duties including:

  • Work as a litigation secretary/PA
  • Organise diaries/instructions to experts/advocates

There is scope for the candidate to take on some or all of the managerial type responsibilities below and progress with career. Duties include:

  • Liaising with clients/visitors to the office, as required
  • Touch typing digital dictation for fee earners, as required
  • Transcribing telephone calls, as required
  • Document production
  • Administration of all COS and ASPIC e-motions
  • Preparing COS Records
  • Arranging consultations with clients/experts/counsel
  • Identifying and liaising with medical experts
  • Liaising with counsel/counsel’s clerks
  • Maintaining counsel’s/office papers
  • Liaising with couriers/interpreters
  • Liaising with clients about all aspects of their claim, as required
  • Liaising with Law accountants in relation to preparation of accounts of expenses/vouching
  • Scheduling interviews for fee-earning positions.
  • Administering court calendar
  • All general housekeeping matters within the Edinburgh office
  • Administering petty cash funds and related admin
  • Administering staff holiday calendar
  • Administering boardroom and video link bookings
  • Liaising with IT support as and when required
  • Liaising with cash room regarding staff matters
  • Being responsible for reception staff
  • Interviewing & training office juniors, as required.
  • Checking incoming mail
  • Ad hoc cover for reception, as required.
  • Point of contact for other tenants within the building
  • Point of contact for external cleaners, tradesmen, contractors and related matters  
  • Administering bookings for staff CPD courses
  • Administering Taxi account and related admin
